Explore Hub Nepal

These Booking Terms & Conditions apply to all trips, tours, treks, experiences, activities and travel services booked through Explore Hub Nepal. By making a booking with Explore Hub Nepal, you confirm that you have read, understood and agreed to these terms and conditions.

1. General

1.1. All bookings made through Explore Hub Nepal are subject to these Booking Terms & Conditions.

1.2. A booking is considered confirmed once Explore Hub Nepal has received the required booking information and payment/deposit, and has issued confirmation of the booking.

1.3. By confirming your booking, you acknowledge that you have read and accepted these terms and conditions.

1.4. These terms and conditions and any agreement between you and Explore Hub Nepal shall be governed by the laws of Nepal.

1.5. Explore Hub Nepal reserves the right to make reasonable changes to an itinerary, accommodation, transportation, guide, activity or schedule when necessary due to weather, safety, local conditions, availability, government regulations or circumstances beyond our reasonable control.

1.6. Where services are provided by third-party suppliers such as hotels, homestays, transportation companies, airlines, domestic flight operators, activity providers or local service providers, those services are also subject to the terms and conditions of the respective supplier.

2. Travel and Adventure Activities

2.1. Some Explore Hub Nepal experiences involve trekking, hiking, walking, road travel, mountain environments, rural areas, high altitude and other activities that may involve inherent risks.

2.2. Travellers are responsible for providing accurate information regarding their health, fitness, previous travel experience, allergies, dietary requirements and any other information that may affect their participation in a trip or activity.

2.3. Our guides and trip leaders may change, shorten, postpone or cancel an activity where they reasonably believe this is necessary for the safety and wellbeing of travelers.

2.4. Explore Hub Nepal will make reasonable efforts to deliver the services described in the confirmed itinerary. However, exact timings, routes and activities may change because of weather, road conditions, local circumstances, permits, safety considerations or other circumstances beyond our control.

2.5. For trekking and mountain trips, the final itinerary may be adjusted by the guide or trip leader based on weather, trail conditions, altitude, health and safety considerations.

3. Travel Insurance

3.1. Travel insurance is strongly recommended for all travellers and may be required for certain trekking, adventure or international travel arrangements.

3.2. Travellers are responsible for arranging appropriate travel insurance before departure.

3.3. Depending on the nature of your trip, your insurance should provide appropriate coverage for medical expenses, emergency evacuation, trekking or adventure activities, trip cancellation, delays, loss of baggage and personal belongings.

3.4. Explore Hub Nepal is not responsible for costs or losses that are covered, or should reasonably have been covered, by the traveller’s travel insurance.

4. Passports, Visas and Travel Documents

4.1. Travellers are responsible for ensuring that they have a valid passport, visa, permits, travel documents and any other documentation required for their journey.

4.2. Travellers are also responsible for checking visa, entry and transit requirements applicable to their nationality and travel itinerary.

4.3. Explore Hub Nepal will provide reasonable assistance or information where applicable, but cannot accept responsibility for a traveller being refused entry, denied a visa or unable to travel because of incomplete or incorrect documentation.

5. Payment

5.1. The payment or deposit required to confirm a booking will be communicated to you at the time of booking.

5.2. Unless otherwise agreed in writing, the remaining balance must be paid by the date stated on your booking confirmation.

5.3. If the balance is not received by the agreed due date, Explore Hub Nepal may cancel the booking after providing reasonable notice.

5.4. Payments can be made through the payment methods provided by Explore Hub Nepal.

5.5. Any bank charges, transaction fees or other payment-related charges may be the responsibility of the traveller unless otherwise agreed.

6. Cancellation by the Traveller

6.1. Cancellation requests must be made in writing by email or through another communication channel accepted by Explore Hub Nepal.

6.2. Cancellation charges will depend on the date of cancellation and the services already committed or paid for on behalf of the traveller.

6.3. Unless different cancellation terms are stated in your specific booking confirmation, the following general cancellation policy applies:

  • More than 30 days before departure: Deposit may be refundable after deduction of non-refundable costs already incurred by Explore Hub Nepal or its suppliers.
  • 15–30 days before departure: Up to 50% of the total trip cost may be retained, depending on non-refundable supplier costs.
  • Less than 15 days before departure: Up to 100% of the total trip cost may be charged where costs have already been committed or are non-refundable.
  • No-show or voluntary withdrawal after the trip has started: No refund will normally be provided for unused services.

6.4. Some hotels, domestic flights, permits, transportation providers, homestays or other suppliers may have different cancellation conditions. Where applicable, these conditions will be communicated to you before or at the time of booking.

6.5. Any refund will be processed after deducting applicable non-refundable costs, bank charges and other expenses already incurred in arranging the trip.

7. Cancellation or Changes by Explore Hub Nepal

7.1. Explore Hub Nepal reserves the right to modify, postpone or cancel a trip or activity where reasonably necessary due to weather, natural disasters, political or civil circumstances, government restrictions, transportation disruption, health emergencies, safety concerns, insufficient participation, supplier cancellation or other circumstances beyond our reasonable control.

7.2. If Explore Hub Nepal cancels a trip before departure for reasons within its reasonable control, we will provide the applicable refund or alternative arrangement in accordance with the booking terms.

7.3. Where cancellation or changes result from circumstances beyond Explore Hub Nepal’s reasonable control, any refund will be subject to amounts recoverable from suppliers and costs already incurred.

7.4. Explore Hub Nepal will make reasonable efforts to offer an alternative itinerary or service where possible.

8. Force Majeure

8.1. Explore Hub Nepal shall not be responsible for failure or delay in providing services caused by circumstances beyond our reasonable control.

8.2. Such circumstances may include, but are not limited to, natural disasters, earthquakes, landslides, floods, extreme weather, strikes, civil unrest, government restrictions, border closures, epidemics or pandemics, road blockages, flight disruptions, political events, war, acts of terrorism or other events that could not reasonably have been prevented or anticipated.

9. Health, Safety and Wellbeing

9.1. Travellers are responsible for determining whether they are physically and medically fit to participate in their selected trip or activity.

9.2. Travellers must inform Explore Hub Nepal in advance of any relevant medical condition, allergy, dietary requirement or other circumstance that may affect their participation or safety.

9.3. Our guides and trip leaders may make reasonable decisions regarding changes to an itinerary or activity where they believe this is necessary for the safety and wellbeing of a traveller or group.

9.4. Travellers must follow reasonable instructions provided by guides, trip leaders and local service providers, particularly where those instructions relate to safety.

10. Personal Belongings

10.1. Travellers are responsible for their personal belongings, luggage, money, passports, electronic devices and other valuables during the trip.

10.2. Explore Hub Nepal is not responsible for loss, theft or damage to personal belongings except where such responsibility cannot legally be excluded.

10.3. Travellers are encouraged to use appropriate travel insurance and take reasonable precautions to protect their belongings.

11. Third-Party Services

11.1. Explore Hub Nepal may work with independent local guides, transportation providers, hotels, homestays, restaurants, activity providers, airlines and other third-party suppliers.

11.2. We carefully select and coordinate with our local partners, but some services are operated independently by these providers.

11.3. Where a service is provided by a third party, Explore Hub Nepal will make reasonable efforts to assist travellers in resolving any issue but cannot be responsible for circumstances that are solely within the control of the third-party provider, subject to applicable law.

12. Responsible and Respectful Travel

12.1. Explore Hub Nepal is committed to responsible, inclusive and community-based travel.

12.2. Travellers are expected to respect local communities, cultures, traditions, religious sites, guides, hosts, women, children, LGBTQIA+ communities, local businesses, wildlife and the natural environment.

12.3. Disrespectful, discriminatory, abusive, threatening or unsafe behaviour towards guides, hosts, community members, staff or other travellers will not be tolerated.

12.4. Explore Hub Nepal may end a traveller’s participation in a trip or activity where their behaviour creates a serious safety concern or significantly affects other participants or local communities. In such circumstances, additional costs arising from the traveller’s departure will normally be their responsibility.

13. Complaints

13.1. If you experience a problem during your trip, please inform your guide, trip leader or Explore Hub Nepal representative as soon as reasonably possible so that we have an opportunity to address the issue during the trip.

13.2. If the issue cannot be resolved during the trip, a written complaint should be submitted to Explore Hub Nepal within 28 days of the completion of the trip.

13.3. We will review complaints fairly and make reasonable efforts to respond and resolve the matter.

14. Photography and Media

14.1. Explore Hub Nepal may take photographs or videos during trips and experiences for documentation, storytelling and promotional purposes.

14.2. We will respect a traveller’s reasonable request not to be photographed or featured in promotional materials.

14.3. If a traveller does not wish to appear in Explore Hub Nepal’s promotional photographs or videos, they should inform us before or during the trip.

15. Children and Minors

15.1. Travellers under the age of 18 must travel with appropriate parental or guardian consent and supervision unless otherwise agreed in writing.

15.2. The parent or legal guardian is responsible for providing accurate information and ensuring that the minor complies with these booking conditions and relevant safety requirements.

16. Changes to Your Booking

16.1. Requests to change dates, accommodation, activities, group size or other arrangements should be made as early as possible.

16.2. Changes are subject to availability and may result in additional charges from Explore Hub Nepal or third-party suppliers.

16.3. Any additional costs resulting from a traveller-requested change will normally be communicated before the change is confirmed.

17. Limitation of Responsibility

17.1. Explore Hub Nepal will provide the services described in your confirmed booking with reasonable care and skill.

17.2. Explore Hub Nepal will not be responsible for loss, delay, injury, expense or disruption arising from circumstances beyond our reasonable control or from the acts or omissions of independent third-party suppliers, except where responsibility cannot legally be excluded.

17.3. Nothing in these terms is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable Nepalese law.

18. Acceptance of Terms

18.1. By submitting a booking request, paying a deposit or confirming participation in an Explore Hub Nepal trip or experience, you acknowledge that you have read, understood and accepted these Booking Terms & Conditions.

18.2. Specific trips or services may have additional terms relating to cancellation, payment, permits, accommodation, transportation, trekking, altitude or other requirements. Where such terms are provided to you, they form part of your booking agreement.
